The GoHighLevel workflow audit: find the automations leaking money

Workflows fail quietly. Nothing errors, nothing alerts, the automation just stops doing what the person who built it intended. On most accounts we audit, at least three workflows are actively costing money - in stranded leads, double sends or premium actions firing in loops. This is the method we use to find them.

Start from the contact, not the canvas

Open ten recent contacts and read their timeline backwards. You are looking for contacts that entered a workflow and never left, actions that fired twice within a minute and long silent gaps where a follow-up should have happened.

The canvas view shows intent. The contact timeline shows reality. The gap between the two is your audit finding.

The four leak patterns

Stranded contacts: a wait-for-condition step whose condition can no longer come true. Double fires: two triggers overlapping on the same event. Credit loops: a premium action inside a loop that re-enters on its own update. Dead branches: an if/else where one side references a deleted tag or stage.

Each pattern has a tell in the numbers. Enrollment counts that only ever go up, action counts far above enrollment, or zero traffic down one branch for months.

Fix, then fence

Fixes are usually small: add an exit condition, consolidate triggers, move the premium action outside the loop. The fence matters more - add a monthly ten-minute review of enrollment versus completion for your top ten workflows.

Two numbers per workflow, once a month. Drift shows up as a ratio change long before a client notices.
